Registration Rules and Conditions

Required Documents:

A copy of personal identification (for Saudi women: National ID or Family Card and Passport; for non-Saudi women: Passport and Residence Permit).

General Conduct:

  • Commitment to upholding Islamic teachings in word and deed.
  • Respect for the instructors and academy staff.
  • Preservation of academy property and prevention of damage.
  • Adherence to modest and appropriate attire or wearing the abaya.
  • Strict prohibition on the use of mobile phones or iPads in the classroom.
  • Strict prohibition on photography inside the academic building.
  • Strict prohibition on smoking inside the academic building.
  • Prohibition on using flash drives or external hard drives on academy devices.
  • Prohibition on bringing food and organizing parties.

Attendance, Tardiness, and Excuses:

  • Delays and leaving the academy are calculated in hours rather than minutes.
  • If a trainee leaves the academy, she is not permitted to return.
  • A delay of more than 15 minutes from the start of the lecture is not allowed.
  • Trainees are not allowed to leave before the official end of the working day except in cases of necessity, with prior approval from the Trainee Affairs Department; if leaving early, attendance hours will be deducted.
  • A trainee will be deprived of the final exam if she is absent for 10% of the required attendance in intensive language levels (80 hours – equivalent to two days without excuse or more than four days with excuse).
  • The last day to submit excuses is two days before the end of the course (prior to the final exam).
  • If a trainee misses tests or presentations, an official excuse must be provided and a re-examination will be scheduled on dates determined by the academy.
  • If a trainee fails to attend the scheduled re-examination sessions, a fee of 200 SAR will be charged within six months.

Withdrawal:

  • A status change request must be submitted before the course begins or on the first or second day; if not submitted, the trainee cannot claim a refund.
  • The original receipt for payment (for level determination and program fee) along with the course entry card must be provided.
  • A copy of the personal identification and account number (IBAN) must be submitted, along with a fee transfer declaration form.

Postponement:

  • A status change request must be submitted and will be effective from the start of the program (not from the registration date). No new request can be submitted for a previous one; if the trainee is absent for more than one month, a reassessment of the level will be required with additional fees.
  • The postponement period cannot exceed 6 months from the date of the status change request.

Transfer or Change of Specialization:

  • Transfer to another program: Allowed from the start of the program, with the days deducted from the total paid fees, and the trainee must pay the fee difference between the programs.
  • Transfer to another person: The paid amount may be transferred to a relative or friend provided that the program has not been started; any fee difference must be paid.

(Please retain the original receipt as it is required when applying for a status change.)

Definitions:

A certificate will be issued to the trainee upon request after one week of study, provided that all fees have been paid.

Failure:

  • In case of failure, the trainee is entitled to retake the final exam twice. The fees for the first retake are 200 SAR and for the second retake 300 SAR, provided that disqualification does not occur.
  • If the trainee fails to pass the re-examination, she must repeat the level for a fee of 1200 SAR (the fee does not include the study bag).
  • If the trainee does not adhere to the scheduled exam time, she will not be allowed to take the exam; a rescheduled exam will be held on dates determined by the academy, in accordance with the attendance, tardiness, and absence rules.
